Registered office: First Floor, Gateway House Grove Business Park, 4 Penman Way, Enderby, Leicester, England, LE19 1SY.

Information we collect

Required fields are marked on each form. Without those details, we may be unable to process your request. Please do not include passports, bank details, medical information or criminal-record documents in these initial forms. Any checks needed later in recruitment will be explained separately.

Why we use your information

We use quotation details to understand your requirements, prepare a quotation and contact you. We use application details to assess suitability and arrange recruitment next steps. Where you ask us to take steps towards a contract with you, that is our legal basis for the necessary processing.

For enquiries made on behalf of an organisation, recruitment administration and website security, we rely on our legitimate interests in responding to requests, finding suitable staff and protecting our services. We consider your rights when using information for these purposes. Where information must be kept or disclosed to meet a legal duty, we rely on that legal obligation.

Form submissions receive automatic acknowledgements, but people review quotation requests and career applications. These emails do not confirm a booking, interview or job offer. Submitting a form does not sign you up for marketing.

Who handles the information

Access to submissions is restricted to authorised personnel and service providers needed to run the website and communications. The services currently used are:

We may also share relevant information with professional advisers or public authorities where necessary for a legal obligation or a legal claim. We do not sell form submissions.

These providers may process information outside the UK, including in the United States. Their published privacy and data-processing terms describe the safeguards they use, including approved contractual clauses and, where applicable, UK-recognised adequacy arrangements. See the information from OpenAI, Cloudflare, Resend, Microsoft and GoDaddy. Contact us for more information about the arrangements relevant to your data.

How long we keep information

We keep information for the purpose it was collected for. The retention decision depends on whether the request is still active, whether follow-up is needed, and whether a specific legal obligation or dispute requires a record.

We remove information when it is no longer needed. A website record moved to the recycle bin is recoverable for up to 30 days unless permanently deleted sooner. After that recovery period, it is removed when the website next performs cleanup. This is not a promise that every copy is erased at an exact time.

Deleting a website record does not delete emails already sent. Relevant mailbox copies must be reviewed separately. Provider logs and backup copies are subject to the provider’s retention and deletion arrangements.

Your rights and how to contact us

Depending on the circumstances, you can ask for access to your information, corrections, deletion, restricted use or a portable copy. You can object to processing based on legitimate interests. If we rely on consent for any separate activity, you can withdraw that consent.

Email info@frontlineguarding.co.uk with your request and, if available, your enquiry or application reference. We may need to confirm your identity. We normally respond within one month; if the law allows more time, we will explain why.

You can raise a concern with us or complain to the Information Commissioner’s Office (ICO).

Cookies and browser storage

The website does not include advertising trackers or optional analytics. You do not need to accept optional cookies to browse the site or submit a form.

Authorised staff use an essential sign-in cookie, frontline_admin_session, which expires after 10 minutes without activity in the portal. Using the portal renews this period. Password setup and recovery use a separate essential cookie, frontline_admin_recovery, for up to 10 minutes. Verification codes go only to the authorised recovery addresses configured by the company. The portal does not require ChatGPT sign-in. The hosting service may also use essential security cookies under its own notice.

You can remove cookies and stored site data in your browser settings. Blocking essential sign-in cookies may prevent staff from accessing the portal. The previous cookie-choice setting, frontline-cookie-choice, is no longer used and is removed when you next visit the home page with browser storage available.
